How to Import Contacts

In this article, we will learn how to upload contact lists using the import option in Zipi. 

Introduction

Zipi allows users to import contact lists the easiest way possible. This will include Customers, Vendors, and outside/cooperating Agents.  

This feature helps you track all the users that you're doing business with. It is basically your Phonebook in the Zipi ecosystem. 

Note: Do not include Agents within your own brokerage in your Contacts in your import.

CSV Format

In this section we will look at the columns in the CSV format for Zipi. The fields listed below appear from left to right on the CSV. 

  1. Contact Unique Key (Zipi Internal Reference Number - Leave Blank, this will be auto-generated)
  2. Display Name (required)
  3. Company Name
  4. First Name (required)
  5. Last Name (required)
  6. Preferred Name
  7. Email Address (required - must contain prefix and domain - e.g. example@mail.com)
  8. Telephone
  9. Country Code (If blank, Import will default to US Code +1)
  10. Phone Number (Do not include spaces)
  11. Fax Number
  12. Location Name
  13. Address Street Number
  14. Address Street Name
  15. Address Unit Number
  16. City
  17. State (Do Not Abbreviate - Requires Official State Name e.g. California)
  18. Postal Code (5 Digit Postal Code)
  19. Country Code (2 Digit Country Code, e.g. US)
  20. Contact Category
  21. Directory Status (Zipi Internal Reference Number - Leave Blank, this will be auto-generated)
  22. Class
  23. Contact Person Unique Key (Zipi Internal Reference Number - Leave Blank, this will be auto-generated)
  24. Contact Location Unique Key (Zipi Internal Reference Number - Leave Blank, this will be auto-generated)
  25. Payroll Type (Available Options: 1099-NEC / W-2 / Blank)
  26. Payroll Name of Recipient (Required for Payroll Type 1099-NEC & W-2. Legal Name as listed on tax document)
  27. Payroll TIN Type (Required for Payroll Type 1099-NEC & W-2. EIN / SSN)
  28. Payroll TIN Payroll (Required for Payroll Type 1099-NEC & W-2. Do not include spaces)
  29. Start Date (Required for Payroll Type 1099-NEC & W-2. Format MM/DD/YYYY)
  30. Payroll Filing Status (Required for Payroll Type 1099-NEC & W-2. Joint / Individual)
  31. Payroll Withholding Amount
  32. Payroll Extra Withholding Amount
  33. Payroll Other Income
  34. Payroll Deductions
  35. Payroll Location Name
  36. Payroll Street Number 
  37. (Required for Payroll Type 1099-NEC & W-2. Street Number Only)
  38. Payroll Street Name (Required for Payroll Type 1099-NEC & W-2. Street Name Only)
  39. Payroll Unit Number (Required for Payroll Type 1099-NEC & W-2. Unit Only, e.g. Apartment Number or Suite)
  40. Payroll City (Required for Payroll Type 1099-NEC & W-2.)
  41. Payroll State (Required for Payroll Type 1099-NEC & W-2. Do Not Abbreviate - Requires Official State Name. e.g. California)
  42. Payroll Postal Code (Required for Payroll Type 1099-NEC & W-2. 5 Digit Postal Code)
  43. Payroll Country Code (Required for Payroll Type 1099-NEC & W-2. 2 Digit Country Code, e.g. US)
  44. Contact Payroll Unique Key (Zipi Internal Reference Number - Leave Blank, this will be auto-generated)
Note: Start on cell A3 in the spreadsheet. All the above mentioned fields are also explained in the template  

General Reminders 

1.  Zipi has the following three categories by default:

   a. Agent 

   b. Customer 

   c. Vendor

blobid0.png If you have more categories, create them in Zipi first before starting the import. 

2. If you are creating an individual contact, leave the Company field empty.

3. If you are creating a company contact, leave the Display Name field empty. 

Importing Contacts

In this section, we will now learn how to import the contacts CSV file into Zipi.

1. In the left navigation panel, go to Company >>Data. blobid0.png

2. This takes you to the Data page.

3. To import Contacts, click the Import/Export button at the top right of your screen.

4. Next, choose Import from the dropdown menu.

 5. Select Contacts, you can now choose the file from your computer for import.

6. Once the file is uploaded, you will see a success message at the bottom right of your screen.

7. Click Create Contacts to import them to Zipi.

 8. You will see a notification at the bottom right of your screen.

 9. On successfully importing your contacts, you should see a success notification.

10. The Status will also update to Imported.

11. You should be able to see your imported contacts on the Contacts page. 

 

We have successfully uploaded your Company's contact list via the Contacts Import Process.
